Power BI alternatives for a small business (2026)

Power BI is deep and well priced at $14 per user per month, but for a small business its AI Copilot needs paid Fabric or Premium capacity, viewers need paid licences, and Shopify, QuickBooks and Stripe are not in Microsoft's connector list. The main alternatives are Looker Studio (free, for Google data), Zoho Analytics (finance and shop connectors), Databox (KPIs from 130+ apps), Tableau (visual analysis), Claude Dashboards (paid Claude plans with warehouse data) and Smart Business HQ, our product, which builds and hosts the board for you with automations and an approval step.

What Power BI does well

Power BI is the most-named tool in the lists and AI answers we checked: 9 of the 10 2026 "best dashboard software" lists we read include it, and it came up in 14 of the 30 AI answers we checked on 8 October 2026. One September 2026 list says that for Microsoft businesses "it fits naturally with Excel, SharePoint and Teams." Its strengths are real:

Connectors. Microsoft lists 188 Power Query connectors, including Google Analytics, Google Sheets, Salesforce and Snowflake.
Scheduled refresh. Up to 8 refreshes a day on Pro, and up to 48 on Premium Per User or capacity.
Free authoring. Power BI Desktop is a free download.
Copilot can create report pages from a prompt.
Buttons that run flows. A Power Automate visual lets people run an automated flow from a report.
Low per-user price for what you get.

How much does Power BI cost?

From Microsoft's pricing page on 8 October 2026: Pro is $14.00 per user per month and Premium Per User is $24.00 per user per month, both paid yearly. Fabric capacity is priced separately ("Variable"). A free account can build in Desktop but has to "Upgrade to Pro or Premium to share reports."

Copilot is not in the Pro licence. Microsoft says it needs paid Fabric (F2 or higher) or Premium (P1 or higher) capacity; "Trial capacities and free SKUs aren't supported."
Every viewer needs a licence. Viewing without per-user licences starts at the F64 and P1 capacity tiers. The free route, Publish to web, makes a report public: "Viewing requires no authentication."
Small-business apps are missing. Shopify, QuickBooks, Stripe and Xero are not in Microsoft's connector list.
It takes skill. TrustRadius reviewers list a "Complex user interface with a steep learning curve" among the cons, and "Cost concerns, particularly for standalone public reporting."
You build it. Microsoft sells licences, not a build service.
One AI. Copilot's settings refer to data sent to Azure OpenAI; a choice of model is not stated.

Six Power BI alternatives

Looker Studio (Data Studio)

Better than Power BI at: cost and sharing. Google's tool, now called Data Studio on Google's own product page, is no charge for creators and viewers, connects to 1,400+ sources including Sheets, Analytics, Ads and BigQuery, and embeds on any web page.

Lacks: Copilot-style report building (its AI is natural-language calculated fields, a preview on Pro, plus a chat feature), and Shopify, QuickBooks and Stripe are not named among Google's sources. See Looker Studio alternatives.

Price: no charge for self-service.

Zoho Analytics

Better than Power BI at: small-business connectors. Zoho lists QuickBooks, Xero, Sage, Stripe, Shopify and WooCommerce with automatic sync, a free plan for 2 users, and a consulting and implementation programme if you want help.

Lacks: the LLM agent Ask Zia is on Premium and Enterprise; extra viewers come in blocks of 25; actions need Zoho Flow.

Price: not readable on Zoho's page on 8 October; a September 2026 third-party list puts Basic at about $24 a month, billed yearly.

Databox

Better than Power BI at: quick KPI boards from small-business apps. It has 130+ native integrations (Shopify, QuickBooks, Stripe, Google Sheets, Google Analytics), works without a data warehouse, and Genie builds a board from a description. The Custom plan says, "We build it for you."

Lacks: acting in other apps (Agents are "Soon"); Routines start on the Team plan; users are capped per plan. See Databox alternatives.

Price: Free for 1 user; Analyst $71 a month billed yearly.

Tableau

Better than Power BI at: visual analysis, with Tableau Agent turning prompts into charts and Pulse sending metric updates to Slack, Teams and email.

Lacks: a light commitment. Every product needs an annual contract and at least one Creator licence, and Tableau Agent in Tableau Cloud sits in the Cloud+ edition, priced through sales.

Price: Tableau Standard from $15 per user per month, billed yearly.

Claude Dashboards

Better than Power BI at: speed for quick questions. On a paid Claude plan you ask in plain language and Claude builds the dashboard from a warehouse or a connected app such as Salesforce, showing the query behind every chart. It went into beta on 8 October 2026 with no separate price.

Lacks: everyone who opens a shared dashboard needs a Claude account; it is self-serve; Anthropic does not say how often it refreshes. See Claude Dashboards vs Smart Business HQ.

Price: included in Pro ($17 a month billed yearly or $20 monthly, per person) and up.

Smart Business HQ (ours)

Better than Power BI at: being done for you. We interview you, build the board, connect your apps (a Shopify shop, Google Sheets, Google Analytics, review pages and more), host it, and change it when you ask. Every plan includes your own private server. Automations draft the repetitive work and anything going out waits in Approvals for your yes unless you switch that tool to send by itself. On a Business board your staff log in to the board, with no per-viewer licence or AI seat.

Lacks: Power BI's modelling depth, warehouse and SQL connections, a self-serve option and embedding in other sites. Cards show source and date, not the query.

Price: Personal from $99 a month plus a setup fee; Business quoted in a meeting.

How to choose

If you like Power BI but not the cost of sharing, Looker Studio is the no-charge route. If your numbers live in Shopify, QuickBooks or Stripe, look at Zoho Analytics or Databox. On 8 October 2026 Microsoft's pricing page showed Power BI Pro at $14.00 per user per month and Premium Per User at $24.00 per user per month, both paid yearly. Power BI Desktop is a free download, but a free account cannot share reports. Copilot needs Fabric (F2 or higher) or Premium (P1 or higher) capacity, which is priced separately.

Is there a free alternative to Power BI?
